Set up a scrim

A scrim repeats on the days you choose. Set it up once, press Enable, and the bot runs each day.

How are you doing it?

Start with /create event and choose Scrim (see Getting started). The scrim stays off until you press Enable, so take your time.

Your checklist

The dashboard home lists Setup still needed until you have added at least one day, a registration channel, a registration role and a captain role for every lobby. On the web it is on the Overview tab.

1. Lobbies and seats

Lobbies
1 to 3. Each lobby gets its own channel and captain role.
Lobby size
Every seat in a lobby, VIP seats included.
Start slot
The first seat number. Seats run from here and nothing may pass slot 25.
VIP seats
The last seats are kept for VIP registration. How many you may reserve depends on your plan.

Example. Lobby size 22, start slot 3, 7 VIP seats gives normal seats 3 to 17 and VIP seats 18 to 24. Slots 1, 2 and 25 stay empty.

2. Channels

Registration
Required. Where teams post %register and use /register.
Waitlist
Optional. Where waitlisted teams register again.
Notification
Optional. If empty, notifications post in the registration channel.
Lobby channels
One per lobby. The slot list and the confirmation prompt post here.
Admin
Staff only. Lobby control panels, and the warning when a day needs clearing.
Log
Staff only. The run report after each clear.

3. Roles

Registration role
Required. Who can see and write in the registration channel while it is open. Often @everyone.
Lobby captain
Required, one per lobby. Given to managers of a seated team in that lobby.
Waitlist role
Given to managers whose team is waiting for a seat.
Ban role
Given to managers of a banned team. Needed before you can use bans.
VIP role
Optional. People with it can register in the VIP window and take VIP seats.

Put the bot's role above all of these, and give it Manage Roles and, for the registration channel, Manage Channels.

4. Schedule

Add one entry per weekday you want to run. Each day has its own times, so Friday can start later than Monday. All times are UTC. Discord shows the matching time in your own time zone right next to what you type.

TimeRequiredWhat it does
NotificationNoPosts the notification message ahead of registration.
VIP opensNoOpens registration for VIP role holders. Must be earlier than the public open.
Registration opens / closesYesThe public window.
Confirmation opens / closesNoTeams confirm attendance. Needs both times.
Waitlist opens / closesNoWaitlisted teams register again to claim freed seats. Needs both times.
Scrim startsYesEvery close must be at or before this. The day rolls over here.

Windows may overlap. Confirmation can open while registration is still running. A day can span at most 20 hours from its first registration to its start.

Example (UTC)
05:00Notification
06:00Registration opens
09:00Confirmation opens
14:55Registration closes
15:00Confirmation closes, unconfirmed seats are freed
15:30 to 16:30Waitlist window
17:00Scrim starts

In Discord

Pick a day in Schedule to add or edit it. Registration times and Windows are separate forms. A select copies one day's times to other days.

On the web dashboard

The Schedule tab lets you add and edit each weekday, and copy one day's times to others.

5. Messages

Six optional posts: Notification, VIP open, Registration open, Registration closed, Confirmation and Waitlist open. Each one is optional.

In Discord

Configure… → Messages shows all six. Press a numbered button to change one.

On the web dashboard

The Messages tab has a box for each.

6. Options

Automate slots
In the waitlist window, new registrations swap into cancelled seats, then unconfirmed ones, on their own. Off: they wait for an admin.
Auto-clear
Clears the day one hour before the next day's first registration. Off: admins get a warning and the run carries on until someone clears it.
Duplicates
The same name and tag, or the same Axis team, twice in one run. Reject them, or accept and flag them with a warning sign.
Ban from sheet at clear
Automatic: a clear applies the sheet's bans before it resets the sheet. Manual: only the Bans button does.
When confirmation closes
Delete the confirmation message, or leave it with the buttons switched off.

7. Enable

In Discord

On the dashboard home press Enable. The scrim runs from its next scheduled day.

On the web dashboard

Use Enable on the Overview tab once the checklist is empty.

Scrims can switch themselves off

A scrim with fewer than 5 registrations for 3 cycles in a row is disabled so it stops posting to an empty channel. Your plan ending, or going over its scrim limit, disables one too. Press Enable to bring it back. A disabled scrim's run is cleared after 24 hours unless you enable it first.
