Terms of Service

The terms that govern use of Axis Manager by organizers, managers, and participants.

These Terms of Service ("Terms") are an agreement between you and Axis Labs ("we," "us," "our"), the operator of Axis Manager, a Discord bot and organizer dashboard at manager.axis-labs.xyz for esports teams, tournaments, scrims, scoring and results. Axis Labs is not a registered business entity.

By adding Axis Manager to a Discord server, signing in to the dashboard, registering a team, joining an event, uploading Auto Score screenshots, generating Results, or otherwise using it, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use Axis Manager.

Use of Axis Manager must also comply with Discord's Terms of Service, Community Guidelines, Developer Terms of Service and Developer Policy. If these Terms conflict with Discord's terms on Discord platform rules or Discord API Data, Discord's terms control for that conflict.

Who Can Use Axis Manager

You must meet Discord's minimum age (13, or higher where your country requires) and be able to form a binding agreement. If you accept these Terms for a server or community, you confirm you have authority to do so and to configure Axis Manager and process team and player information on its behalf.

Axis Manager has three kinds of users:

  • Server owners and event administrators set up and run tournaments and scrims.
  • Team managers register teams and rosters.
  • Players and other participants appear on rosters, slot lists, scoring sheets and Results.

Your Account and Access

  • The dashboard signs you in with Discord. You are responsible for everything done through your Discord account and session, and for keeping your Discord account secure.
  • Access to a server's events is decided by your Discord roles and permissions in that server. You are responsible for whom you grant admin, manager and staff roles.
  • Tell us promptly if you believe your account or a server's configuration has been misused.

Acceptable Use

You may use Axis Manager to run and take part in esports teams, tournaments and scrims in line with these Terms and the documentation. You agree not to:

  • Violate Discord's Terms of Service, Developer Terms, Developer Policy or Community Guidelines, or any law
  • Harass, abuse, threaten or harm others
  • Bypass security controls, permission checks, plan limits, credit limits or access restrictions
  • Interfere with the operation of Axis Manager or other servers, including through automated abuse, spam or excessive load
  • Reverse engineer, scrape or copy Axis Manager except as the law allows
  • Submit team, roster, logo, screenshot, slide or event content you do not have the right to use
  • Collect passwords, tokens or other credentials through Axis Manager
  • Use Discord API Data to profile users, discriminate, or make decisions about employment, housing, insurance or similar benefits
  • Store or request sensitive information not needed for competition (such as passwords, payment details or health information)
  • Upload Auto Score images that contain illegal content or content inappropriate for the server's audience
  • Misrepresent tournament or server activity, or manipulate registrations, slots, bans, scores or standings

Organizer Responsibilities

Axis Manager is a competition operations tool. Organizers remain responsible for their rules, disputes, bans, moderation decisions, prizes and the accuracy of what they publish. Administrators and managers are responsible for:

  • Team names, tags, countries and logos
  • Manager and roster Discord identifiers, in-game names and in-game identifiers, and having permission to provide them for their players
  • Event and scrim configuration: stages, lobbies, roles, channels, registration windows, VIP seats, bans and confirmation text
  • Who receives Google Sheets scoring links and which Google Slides files are connected
  • Screenshots uploaded to Auto Score and scores saved from those runs
  • Telling team managers and players what data is collected

We do not verify every roster entry, screenshot, slide file or configuration before use. Only submit information that you own, have permission to use, or that is appropriately shared for competitive event operations.

Scrim runs and clears

Clearing a scrim day or run takes back roles, resets seats, slot lists and score tabs, and deletes unpinned messages in the channels Axis Manager manages. Auto-clear runs on the schedule you set. You are responsible for your clear settings and for confirming a clear before you run it. We cannot recover deleted messages or reset sheets.

Scoring spreadsheets

  • Roster fields such as team name, tag and in-game names may be written to your event workbook.
  • Workbooks are typically shared so anyone with the link can edit. Treat workbook links as sensitive and decide carefully where to post them.
  • We are not responsible for edits made by anyone who obtains a link.

Auto Score and AI features

  • Match screenshots, lobby roster context and model outputs are sent to OpenAI. Axis Labs does not store the screenshot files.
  • OpenAI may use those inputs and outputs to improve its services and models. There is currently no opt-out. Do not use these features if that is not acceptable.
  • AI output can be incomplete or wrong. Review results before saving and before relying on them.
  • Only one Auto Score run may be active per server at a time. Features may be limited or disabled per server.

Results

Leaderboard and MVP images are generated from your scoring workbook using our default slides or Google Slides files you connect. Team logos and roster names may appear on them. Optional AI commentary uses leaderboard statistics, not Discord chat. You are responsible for what is posted to your channels.

Sensitive information

Do not submit content that should not be shared in a Discord community, an editable spreadsheet, a Results image or an AI pipeline, including passwords, private personal information unrelated to competition, confidential business records, or protected health or financial information.

Plans, Credits and Payment

  • Every server starts on the Free plan. Paid plans raise limits such as concurrent scrims and tournaments, stages, lobbies, teams per lobby, VIP seats and monthly credits. Current limits and prices are on the pricing page and in /plans.
  • Credits pay for AI features only (for example Auto Score screenshots and AI review captions). A monthly pool resets each month and is spent first. Purchased credit packs do not expire and are spent after the monthly pool. A run reserves credits before it starts and returns any it does not use.
  • There is no checkout page. Plan changes and credit packs are arranged through a ticket in our Discord server, where staff take and record payment. Only pay as staff instruct in that ticket.
  • Unless we say otherwise in writing or the law requires it, payments are non-refundable and used credits are not returned. Credits spent on a run that failed because of our error may be re-credited at our discretion.
  • If a paid plan ends, the server returns to Free limits and scrims or events above those limits may be disabled.
  • We may change plans, limits, credit costs and prices. A change will not apply to a plan you have already paid for until the current paid period ends.

Intellectual Property and Content

Axis Manager, including its software, design, default slide templates, documentation and branding, belongs to Axis Labs. These Terms give you a limited, non-exclusive, non-transferable, revocable right to use Axis Manager as intended. No other rights are granted.

You keep ownership of the content you submit, such as team names, logos, rosters, event settings, screenshots and slide files. You grant Axis Labs a worldwide, non-exclusive, royalty-free license to host, store, process, copy, display and transmit that content, and to share it with the service providers described in the Privacy Policy, only as needed to operate and support Axis Manager. For example, this includes showing logos in Discord and on Results images and writing rosters to spreadsheets.

You confirm you have the rights needed to give that license and that your content does not infringe anyone's rights. Teams are shared across servers on Axis Manager, so team information you register may appear in events on other servers that team joins.

If you believe content on Axis Manager infringes your rights, open a ticket in our Discord server with details and we will review it. Feedback you send us may be used without obligation to you.

Discord and Third-Party Services

Axis Manager relies on services we do not control, including Discord, Google (Drive, Sheets, Slides), OpenAI, Cloudflare and database hosting. Their availability, changes and terms apply to your use, and we are not responsible for their acts or outages. The Privacy Policy describes how data is handled by them.

Axis Manager does not sell, license or commercialize Discord API Data. It does not request Discord's Message Content privileged intent, and Discord message content is not used to train machine learning models.

Service Availability and Changes

Axis Manager is provided "as available." We may update, change or discontinue features, apply or change limits, or suspend service for maintenance or security. We aim for reliability but do not guarantee uninterrupted service. Registrations, role grants, sheet sync, Auto Score runs, scrim clears, Results generation and message updates may be delayed or fail because of Discord, Google, OpenAI, hosting or configuration issues. Do not make a critical competition decision on Axis Manager output alone.

Disclaimers

To the fullest extent permitted by law, Axis Manager is provided "as is" and "as available," without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy and non-infringement. Outputs and state may be incomplete or wrong if events are misconfigured, rosters are wrong, Auto Score misreads a screenshot, or data changes outside Axis Manager.

Axis Labs is not responsible for tournament outcomes, prize decisions, bans, moderation actions, or disputes between organizers, managers and players.

Limitation of Liability

To the fullest extent permitted by law, Axis Labs is not liable for indirect, incidental, special, consequential or punitive damages, or for lost data, lost profits, lost prizes, deleted messages, unauthorized access to your account or shared links, or damages arising from third-party services.

Our total liability for any claim related to Axis Manager is limited to the amount you paid us for Axis Manager in the three months before the claim arose, or zero if you paid nothing. Some places do not allow certain limits, so parts of this section may not apply to you.

Indemnification

You agree to defend and hold Axis Labs harmless from claims, losses and expenses (including reasonable legal fees) arising from content you submit, your events and tournaments, your breach of these Terms, or your violation of law or of another person's rights.

Termination

  • You can stop at any time by removing the bot from your server, signing out of the dashboard, or ceasing use. Removing the bot does not by itself cancel a paid plan or entitle you to a refund.
  • We may suspend or end access for a user, team, event or server that breaches these Terms, abuses the service, or creates security, legal or Discord-policy risk. Where practical we will tell you why through Discord or a support ticket.
  • After the bot is removed or access ends, we delete guild-scoped data as described in the Privacy Policy. Global team data may remain if the team is used in other servers. Data already written to Google files or sent to OpenAI is outside our control. Unused credits are forfeited if we end access for your breach.
  • Sections that are meant to outlast termination, such as the content license, disclaimers, liability limit, indemnification and governing law, stay in effect.

Disputes and Governing Law

If you have a problem, open a ticket in our Axis Labs Discord server first. Most issues can be resolved informally, and you agree to try this for at least 30 days before starting a formal claim.

These Terms are governed by the laws of the jurisdiction in which Axis Labs' operator resides, without regard to conflict-of-law rules. A dispute that cannot be resolved informally will be brought in the courts of that jurisdiction, and you consent to their jurisdiction, except where mandatory consumer law lets you bring a claim where you live. Disputes between organizers, managers and players are between those parties, not with Axis Labs.

Reporting Issues

To report bugs, abuse, policy violations or security concerns, open a support ticket in the Axis Labs Discord server with as much detail as you can. This is also the channel Discord's Developer Policy requires us to provide for reporting violations.

Changes to These Terms

We may update these Terms from time to time. We will change the "Last updated" date above and, for material changes, announce them in the support server or the dashboard. Changes apply from the date posted. Continuing to use Axis Manager afterward means you accept them. If you do not agree, stop using it.

General

  • These Terms and the Privacy Policy are the whole agreement between you and Axis Labs about Axis Manager.
  • If a part is found unenforceable, the rest stays in effect.
  • Not enforcing a part of these Terms is not a waiver of it.
  • You may not transfer your rights under these Terms. We may transfer ours, for example to a successor operator of Axis Manager.
